How do you add your own calendar to your leave calendar?

Updated by Chris Storms

HR Selfservice allows you to show a private calendar on top of the leave calendar.

  • As an employee you can add a private calendar. This is only accessible to you. To do this, go to your Personal Calendar > Extra Calendars > Add private calendar.
  • As an administrator you can add a company calendar (e.g. with trade fairs). This will be accessible to all employees. To do this, go to Organisation tab > General settings > Add company calendar

How to find the address of your calendar?

The internet address of a calendar always ends in .ics .

Gmail / Google Calendar

  1. Go to https://calendar.google.com/
  2. Go to the calendar you want to add in the left menu
  3. Open the menu with the 3 dots next to the calendar
  4. Choose Settings and sharing
  5. Now you have two options.
Either you work with a public calendar. Making your calendar public will make all events visible to the world, including via Google search. We do not recommend this.
Or you can use a non-public calendar. In this case it is only available to you and the people you explicitly share your calendar with.
  6. Go to Integrate calendar in the left menu
  7. Copy the calendar address in iCal format.
If you use a public calendar, copy the public address.
If you are using a non-public calendar copy the secret address
  8. Paste the link into HR Selfservice.

Outlook/Hotmail

  1. Go to https://www.hotmail.com or https://www.outlook.com or https://www.office.com
  2. Go to Settings at the top right.
  3. Choose View all Outlook settings at the bottom
  4. Choose Calendar and then Shared calendars
  5. Go to Publish a calendar
  6. If the calendar has not been published yet, do so first.
  7. Click on the ICS link and copy it.
  8. Paste the link in HR Selfservice in the calendar address field.
