How do I add a new collective leave schedule/planning calendar?

There are two types of planning calendars: 

 

  1. Payroll planning calendars 

These planning calendars are used for the employees calculated in Payroll and can only be managed in Payroll ('Payroll' > 'Main page' > 'Planning calendar overview'). The changes you make to these planning calendars in Payroll automatically show up in HR Selfservice Absences. This ensures that the planning calendars in HR Selfservice Absences and Payroll are always in sync.  

 

  1. Other planning calendars 

These planning calendars are typically used for external staff who are not managed in Payroll. Only these planning calendars can be added in HR Selfservice Absences.  

  • Go to 'Organisation'. 
  • Click on 'Annual planning'. 
  • Click on 'New annual planning' in the bottom left corner. 

 

Adding a collective day 

  • Select the day on the calendar.  
  • Click on 'Schedule leave'. 
  • Select the absence type you wish to add. 

 

When the planning calendar is ready, you can allocate it to one or more employees.  

 

  • Go to 'Employees'. 
  • Select the employee in the left-hand column. 
  • Click on 'Settings'. 
  • Click on 'Contracts'. 
  • Under the 'Annual planning', click on 'Add annual planning'. 
  • Click on 'Save' in the bottom right corner to save the change. 

 

Note: Employees' leave balances are not automatically adjusted when you add or remove collective days. We therefore recommend always creating the collective absences before granting the leave entitlements.
