How to create workflows from a template (and what to watch out for)

Create a workflow from a template

Step 1 — Go to Workflow view

Templates are used from the Workflows view

Step 2 — Click “New workflow”

Use the split button to select a workflow template

Step 3 — Complete the workflow

Fill in:

About (employee)

Due date (optional)

Step 4 — Save the workflow

Choose:

  • Save as Active
  • Save as On hold

What happens when you use a template?
  • A new workflow is created
  • All template tasks are added
  • Tasks get a status based on how you save the workflow
Important: Missing owner
If the template did not define an owner for a task, the task will be listed as "Action required"

What do you need to do?
Assign an owner to the task and then you can choose whether to save the task as On hold or Active
Workflow statuses explained

A workflow status depends on its tasks:

  • Rejected → at least 1 rejected task
  • Action required→ at least 1 task requires action
  • Ongoing → at least 1 active task
  • On hold → only on hold tasks
  • Completed → all tasks completed

Common mistakes to avoid
  • Forgetting to assign an Owner
  • Creating workflows without checking tasks
  • Using templates for one-off processes
