Features available during the onboarding phase

As soon as you launch the onboarding of a new employee, several HR Selfservice features become available so you can prepare their arrival. As long as the employee has not yet been created in Payroll and not yet activated in HR Selfservice, they remain in the onboardingphase.

In the employee list, a person in the onboarding phase appears with a handshake icon, making it easy to identify employees whose activation is not yet complete.

Warning: you cannot grant access to an employee in pre‑onboarding status until they have been imported from Payroll.
Available features during the hiring phase

Even though the employee is not yet active in HR Selfservice, you can already perform several actions:

Document generation

Generate an employment contract or any other personalised document based on the personal information already provided by the employee.

E‑Signing

Have the new employee sign their contract online. Signed documents are automatically stored in the personnel file.

Assets

Reserve work equipment such as a laptop, badge, or other resources through the Assets module.

Training

Enroll the new employee in one or more training courses from your organisation’s catalogue.

Note: As long as the employee is still in the onboarding phase, they do not yet have access to the full HR Selfservice application. They cannot log in like an active employee.
What can they do?
The employee receives an email containing a link to an external onboarding form (outside HR Selfservice), where they can:
- complete or update their personal data
- upload documents (ID card, holiday certificate, etc.)
- sign required documents
