What is e-signing and how does it work?

Updated by Chris Storms

With e-signing, you can have documents in HR Selfservice signed by one or more people.

To use e-signing, both the administrator who starts the e-signing process and each signatory must have access to Documents in HR Selfservice. You do not pay per signature, but employees must have access to Documents.

The e-signing process is always started by an administrator in HR Selfservice.

  • Select an existing document in HR Selfservice or upload a new document.
  • Choose who needs to sign the document and in which order.
  • Choose the required type of signature (checkbox, manual signature, itsme/eID).
  • The signatories receive an email and notification informing them that a document needs to be signed.
  • As soon as a signatory has signed, the next signatory receives an email. This continues until everyone has signed.
  • As an administrator, you can also choose to receive an email once everyone has signed.

A document can have one or more signatories. For example:

  • the employee only
  • an administrator only
  • first a company director, then the employee
  • first a manager, then HR and finally the employee

When several people need to sign the document, the administrator determines who needs to sign it and in which order. The employee does not necessarily have to be one of the signatories.
